Climate Control:
- The climate control system maintains the temperature inside the vault area within a range of 67-72 degrees with a relative humidity of 40%. This is optimal in the ANSI standards for storage of magnetic media.
- The system is designed to cool, heat, humidify and dehumidify
- The conditioned air circulates 24/7/365
- The vault maintains a positive air flow. That is, when the door is opened, air rushes out of the vault. This keeps the vault from being contaminated with dust particles.
- All climate control systems are monitored by our alarm system for temperature deviations of plus to minus 10 degrees.
Fire Detection and Suppression:
- ADPSI incorporates a complex control system designed to protect magnetic media
- Heat/smoke detectors distributed throughout the vault
- Detectors are designed to detect heat, smoke and the pre-flame chemical make-up of the air, thus detecting most pre-flame conditions.
- Environmentally controlled media storage vault... equipped with FM-200 automated fire suppression systems (like those used in some of the world's finest museums), thus eliminating water and chemical damage caused by traditionally used sprinkler and carbon dioxide systems
- As an organization concentrating on disaster recovery and protection of client information, ADPSI recommends to never sprinkle media with water. Exposure to fire is detrimental to magnetic and paper media, but suppressing the flame with water is adding damage to the media.
Water Detection:
Even though our facility is not located in any flood areas, ADPSI incorporates water detectors into our vault protection. These are located in strategic areas throughout the facility to notify vault personnel of any moisture concerns prior to having water issues. The water detectors are connected to our alarm system for monitoring.
Accessibility:
24 hour per day, 7 days per week, 365 days per year non-scheduled and emergency access to any of your rotational and/or archived data with a guaranteed maximum turn around time of 2 hours.
Security:
- ADPSI's facility has multiple layered security built into our system. Security can be thought of as both physical and logical. The security systems and methodology we employ is designed to make intrusion difficult and of any information time consuming and near impossible.
- Alarm system with central station monitoring and direct connection to police and fire departments.
- Multiple closed circuit cameras viewing and taping all access points to the building, including docks, main doors, reception, man-trap, parking lot and interior vault spaces.
- Steel vault doors
- Fingerprint access and monitoring systems.
- Door contacts and motion detectors.
- Brick constructed building has no signage.
- Recommend that no client data be displayed on media. All items are bar-coded and recognized in the software systems by the bar-code.
- Clients can determine the level of security/authorization granted to each client employee. Clients are issued authorization cards that are required in every transaction (requests, recalls, etc).
- All ADPSI's security systems are on a regular preventive maintenance schedule with Bay Alarm Systems. And have backup power supplied by our backup generator.
Data Storage:
Your data can be stored containerized, open-shelf or a combination. If containerized, the items will not be removed and the container will not be opened at our facility. This is ideal for items that always remain together. Open-shelf becomes appropriate when various items rotate on different dates such as a TMS. All visitors and guests, after signing a confidentiality agreement, must be escorted within the facility the entire time. All items are bar-coded and scanned in, allowing for real time web monitoring of your material.
Technology:
The transfer of information and data is simplified to the customer as we accept requests in any format. Some clients call, fax or e-mail these requests. However, the easiest and most accurate communication happens via our website. Our web program allows clients to completely manage their account online. The features of this program are too numerous to completely describe in detail, but include:
- 100% verification of all media movement
- Immediate discrepancy reporting, all media verified within hours of arrival at ADPSI
- Online inventories are updated immediately upon verification of all media movement
- Management of additional information associated with each media if you choose: (tape number, database description, out-codes, create dates, return dates, etc.)
- Tracking of all recalled media
- Flexibility - it doesn't matter what system you use to manage your tapes, as long as the media has bar-coded labels, you can utilize the extranet.
- Ease of use - training provided by ADPSI
Transfer of data:
Our safely screened, bonded and uniformed couriers come directly to your site on your chosen day(s) to retrieve or deliver your data. By viewing the ADPSI issued ID card, our courier verifies the authority of the individual to release or receive the data. The data will be placed in our custom-designed 22-guage solid steel transportation containers to protect from physical and thermal shock. These containers come in various sizes specific to your media needs. The containers are padded with anti-static foam for extra security during movement. All containers include a solid steel padlock. The containers do not have the clients' names or addresses on them; they are simply bar-coded for your privacy and protection. Your critical data is then loaded into our specially configured vehicles.
Transportation vehicles feature:
- Secured and alarmed cab and cargo areas
- Climate controlled cab and cargo areas
- Two-way communication
- Fire suppression systems
- Material secured down during transport
Cost savings:
- Savings due to a decrease in your company's business interruption insurance premiums more than pays for your ADPSI storage
- As an authorized distributor for numerous computer product manufacturers, ADPSI can provide your company with substantial discounts on magnetic tape, data cartridges, cd's, optical disks, tape racks and containers... which many times can pay for your annual off-site storage costs
Advanced Data Protection Services, Inc. will develop a plan to work in conjunction with your existing business processes to meet your unique requirements. We meet the growing business demands to control information and manage critical business information confidentially and securely off-site.
GOVERNMENT MANDATES, CONSERVATION & RECYCLING
Although compliance is voluntary, we employ all reasonable means to guarantee that shredded materials are recycled to the highest degree. Several federal acts encourage recycling, including:
- the 1965 Solid Waste Disposal Act, which provided financial help for waste programs;
- the 1970 Resource Recovery Act, which expanded the effort for waste programs;
- the 1976 Resource Conservation and Recovery Act, which created strict requirements for environmental safegaurds for landfills and incineration programs.
All of these laws have had an impact on recycling activity in this country. In addition, a majority of US states have established recycling goals.
